Many MKB owners — MKB standing for Dutch small and medium-sized businesses — switch on automatic inventory valuation in Odoo without really understanding what it means. It looks convenient: tick one box and you are done.
But that tick box changes everything. Your stock suddenly becomes accounting-active. Every product that comes in or goes out lands straight on your balance sheet.
And that is exactly where it goes wrong.
What is automatic inventory valuation in Odoo?
Automatic inventory valuation in Odoo is a powerful feature that posts stock movements straight into your financial records. It saves you time and prevents manual errors. Using it, however, requires careful preparation if you want to avoid administrative problems.
Why accurate stock data in Odoo is essential
Before you activate automatic inventory valuation in Odoo, your stock has to be accurate. That means both quantities and prices must be entered correctly in the inventory module. Inaccurate data leads to incorrect financial reporting and messy records. So always check the current stock position and correct any discrepancies.
General ledger accounts in automatic inventory valuation
Automatic inventory valuation in Odoo uses two important grootboekrekeningen (general ledger accounts):
Nog te factureren, goods still to be invoiced (outgoing stock): This is a temporary account that increases when goods are delivered to customers. At the same time, the inventory valuation account decreases. When the customer invoice is created, this interim account is cleared again.
Nog te ontvangen facturen, invoices still to be received (incoming stock): This temporary account is used when products are received from suppliers. It is then cleared when the invoice is created in order to pay the suppliers.
These interim accounts keep your stock and your financial records aligned throughout the delivery and invoicing process.
Understand FIFO and Actual Cost in Odoo
Odoo supports several inventory valuation methods, among them FIFO (First In, First Out) and Actual Cost.
FIFO in Odoo: the products you bought first are also the first to be sold. This is particularly useful for perishable goods.
Actual Cost in Odoo: this method uses the real cost of each product, which gives you a more accurate view of your margins and profitability.
Make sure you choose the right method for your business needs.
Why automatic inventory valuation does not simply "work"
From the moment you value your stock automatically, you tie your inventory management to your accounting. Odoo does not calculate on the basis of what you think, but on the basis of what you do.
Without the right setup you get:
- Incorrect stock values on your balance sheet
- Unresolved amounts sitting on interim accounts
- Odd margins you cannot explain
And that is usually because the basics are missing: correct product configuration, linked accounts, and correct use of the processes in Odoo.
